This privacy policy describes our policies and procedures on the collection, use and disclosure of your information when using the service and informs you of your privacy rights and how the law protects you.
Definitions
For the purposes of this Privacy Policy:
Account means a single account created to allow you access to our Service or parts of our Service.
Application refers to MRV, the system provided by the Permanent Secretariat MRV, Ministry of Environment, Agriculture and Livestock
Responsible (designated by « the Head », « We », « Our » or « Our » in this document) designates the MRV Permanent Secretariat — Ministry of Environment, Agriculture and Livestock, Bujumbura, Burundi.
Country refers to: Burundi
Device means any device that can access the Service such as a computer, mobile phone or digital tablet.
Personal data are all information relating to an identified or identifiable person.
The Service refers to the MRV Application and associated portals.
The provider In the case of services, any natural or legal person who processes the data on behalf of the Data Controller shall be designated. It refers to third-party companies or persons employed or mandated by the Head to facilitate the Service, to provide the Service on behalf of the Head, to perform services related to the Service or to assist the Head in analysing how the Service is used.
Use data refer to the data collected automatically, generated either by using the Service or by the Service's own infrastructure (for example, the visit time of a page).
You means the person who accesses or uses the Service, or the corporation or other legal entity on whose behalf that person accesses or uses the Service, as the case may be.
Collection and use of your personal data
Types of data collected
Personal data
When using our service, we may ask you to provide us with certain identifiable personal information that can be used to contact or identify you. Personal identifiable information may include, but is not limited to:
- Email address
- First name and last name
- Telephone number
- Address, Region, City
Use data
Use data are collected automatically when using the Service.
Usage data may include information such as your device's Internet protocol address (e.g. IP address), browser type, browser version, unique device identifiers and other diagnostic data.
When you access the Service by or via a mobile device, we may automatically collect certain information, including, but not limited to, the type of mobile device you use, the unique identifier of your mobile device, the IP address of your mobile device, your mobile operating system and other diagnostic data.
Information collected when using the application
When using our application and MRV portals, in order to provide functionality of the service, we may collect, with your prior permission when required:
- Information about your location (when providing geolocation data for inventories or emission points).
We use this information to provide functionality of our service, to improve and customize our service. The information can be downloaded to the Controller's servers and/or to a service provider's server or can only be stored on your device.
You can enable or disable access to this information at any time, via your device settings or your account settings.
Use of your personal data
The Data Controller may use Personal Data for the following purposes:
- To provide and maintain our Service, including to monitor the use of our Service.
- To manage your account : to manage your registration as a user of the Service. The personal data you provide can give you access to different features of the Service that are accessible to you as a registered user.
- To contact you To contact you by e-mail, phone calls, SMS or other equivalent forms of electronic communication, such as notifications of technical updates, validation requests, or information communications related to functionality.
- To manage your requests : to answer and manage your requests with us (support, data corrections, access requests).
- For the production of MRV reports processing, consolidation and transmission of data necessary for the development of the National GHG Inventory and other national and international reports.
- For business transfers : assess or conduct a merger, assignment, restructuring, reorganization, dissolution or other sale or transfer of all or part of the assets of the Responsible Authority, where necessary.
- For other purposes: such as data analysis, identification of usage trends, determination of operational effectiveness and continuous improvement of the Service.
Disclosure of your personal data
The Data Controller may share your personal data in the following situations:
- With service providers: for technical purposes (accommodation, maintenance, security, support), so that these providers provide services on behalf of the Head.
- With national public institutions involved in MRV (sectoral ministries, national statistical agencies, environmental authorities) according to defined purposes.
- With international partners : UNFCCC, UN agencies, donors and technical partners for reporting and support purposes, on the basis of contractual agreements or guarantees.
- With affiliates or partners, when necessary and with your consent if required.
- With competent authorities - if required by law or in response to valid requests from public authorities.
Retention of your personal data
The Accountant will retain your personal data only for as long as necessary for the purposes set out in this Privacy Policy. Durations may vary depending on the nature of the data and the applicable legal obligations. By default:
- User account data: kept for the duration of the account activity and then archived for 2 years after inactivity.
- MRV data and inventories: retained for 10 years to ensure traceability and compliance with international requirements.
- Access logs and logs: kept between 1 and 5 years depending on their nature and audit obligations.
Please note that some data may be retained longer if required by law.
Delete Your Personal Data
You have the right to delete or request that we help you delete the personal data we collected about you. Our service can give you the opportunity to delete certain information about you within the service.

Law enforcement
In certain circumstances, the Responsible party may be required to disclose your Personal Data if required by law or in response to valid requests from public authorities (e.g. a court or government agency).
Other legal requirements
The Responsible Party may disclose your personal data if it considers in good faith that such action is necessary to:
- Comply with a legal obligation
- Preventing or investigating possible wrongdoing related to the Service
- Protect the personal safety of users of the service or the public
Security of your personal data
The security of your personal data is important to us. We implement appropriate technical and organizational measures to protect your data. However, no method of Internet transmission or electronic storage is 100% safe.
Children ' s privacy
Our service is not for people under the age of 13. We do not knowingly collect identifiable personal information from persons under the age of 13. If you are a parent or guardian and you know that your child has provided us with personal data, please contact us. If we learn that we have collected personal data from a person under the age of 13 without checking parental consent, we will take steps to remove this information from our servers.

Our service may contain links to other websites that are not operated by us. If you click on a third party link, you will be redirected to the third party website. We strongly recommend that you consult the privacy policy of each site you visit.
Changes to this Privacy Policy
We may update our privacy policy from time to time. We will inform you of any changes by publishing the new Privacy Policy on this page.
We will inform you by e-mail and/or by notice of our service, before the change becomes effective and update the date of « Last update » at the top of this privacy policy.
